How we work

No surprises.
No handoffs.
No guesswork.

Every Altus Initiatives engagement follows a structured process — from the first conversation through to delivery and beyond. Here's exactly what to expect at each stage.

Our principles

Three things that are true of every engagement we take on.

Principle 01

We understand before we build.

Every engagement starts with a structured discovery process — your tools, your team, your actual bottlenecks — before any solution is designed. We don't arrive with a predetermined answer. We arrive with the right questions. An automation built on incomplete understanding of your business is an automation that solves the wrong problem. We don't build until we're confident we're solving the right one.

Principle 02

You own everything we build.

Every system, workflow, and agent we deliver is fully documented and handed over completely. You are never dependent on Altus Initiatives to keep your systems running. The goal is to make your business more capable — not to create a monthly obligation to maintain access to your own tools.

Principle 03

One specialist throughout.

You work directly with Shine from the first conversation through to delivery and ongoing support. The person who understands your business is the person who builds your system. There are no handoffs to a junior team member, no account managers relaying information, and no one catching up on your project halfway through. The context built in the discovery phase is the context that informs every build decision.

Step by step

What to expect at each stage.

  1. 1

    Discovery Call

The first conversation is not a sales call. It's a diagnostic. Before anything is scoped or proposed, we spend 30 minutes understanding your business — your current workflows, where your team's time is actually going, and where the most meaningful automation opportunities are likely to sit. If it's not a fit, we'll say so. If there's a clear opportunity, the next step is the AI Readiness Audit.

What you walk away with — a clear sense of whether automation makes sense for your agency right now, and if so, where to start.

  2. 2

    AI Readiness Audit

Before any build begins, we map your workflows in detail — identifying your highest-ROI automation opportunities, estimating the time and revenue impact of each, and producing a prioritized action plan with real numbers attached. You don't commit to a build upfront. You commit to clarity first. The audit is a standalone deliverable. Some clients use it to build internally. Most use it as the foundation for the implementation that follows.

What you walk away with — a prioritized automation roadmap: your top three opportunities ranked by ROI, with a recommended starting point and a clear picture of what each one is worth.

The audit fee is credited in full toward any subsequent implementation project.

  3. 3

    Scoping & Proposal

Once the audit is complete and there's a clear implementation opportunity, we produce a written proposal — scope, timeline, deliverables, and investment — before any work begins. Nothing starts until you have the full picture and have signed off on it. The proposal reflects what we discussed. There are no surprises in it. If something changes during the build that affects scope, it's raised immediately — not presented as a change order after the fact.

What you walk away with — a complete written proposal covering scope, timeline, deliverables, and investment. The contract for the engagement.

  4. 4

    Build & Delivery

This is where the system gets built. You'll receive progress updates at defined checkpoints — not silence for weeks followed by a finished product. If a build decision requires your input or a workflow behaves differently than the audit anticipated, you hear about it immediately. Every system is built with error handling, monitoring, and documentation as non-negotiables — not added at the end if there's time. Before anything is handed over, it's tested against real-world conditions, not just the expected path.

What you walk away with — a fully built, tested, and documented automation system, integrated into your existing tools and ready to run.

  5. 5

    Handover & Support

Delivery isn't the end of the engagement — it's the beginning of the system running in your business. Every project closes with a full documentation handover, a walkthrough for your team, and a post-launch support window so any real-world edge cases are caught and resolved quickly. You leave with everything you need to understand what's running, why it's built the way it is, and how to maintain it. For agencies that want ongoing improvement and monitoring beyond the support window, retainer options are available.

What you walk away with — complete system documentation, a team walkthrough, and post-launch support coverage. Optionally, an ongoing retainer for monitoring, updates, and continuous improvement.

Common questions

A few things worth saying directly.

"I don't want to rip out my current systems."

You don't have to. Every system we build is designed around the tools you already use. The goal is to make your existing stack work together intelligently — not to replace it. If a tool genuinely isn't fit for purpose, we'll tell you that in the audit before anything is built.

"I'm not ready to commit to a large project."

You don't have to. The AI Readiness Audit is a standalone engagement — a structured review that produces a clear action plan before any build is proposed. It's designed specifically so you can see exactly what you're getting into before you commit to getting into it.

"What happens if something goes wrong after it's live?"

Every implementation includes a post-launch support window — Workflow Automation projects include 30 days, AI Agent implementations include 60 days. If something breaks or behaves unexpectedly in that window, it gets fixed. For ongoing peace of mind beyond that, a Maintenance Retainer keeps a dedicated point of contact on hand, with issue response within 24 business hours.

Get started

The first step is a conversation.

30 minutes. No pitch. Just a clear picture of where automation moves the needle for your agency — and whether Altus Initiatives is the right fit to build it.
